Job Description

The Accounts Payable Analyst supports the Accounts Payable team in delivering accurate and timely processing of invoices, expenses, and payments across the Procure-to-Pay lifecycle. This role is designed to provide practical work experience while developing knowledge of finance systems, controls, supplier processes, and stakeholder service in a structured learning environment.

Key Responsibilities

Invoice and Expense Processing

oSupport the processing of supplier invoices and employee expenses accurately and on time.

oCheck invoices for completeness, correct coding, approvals, and supporting documentation.

oAssist with matching purchase orders, receipts, and invoices where applicable.

oEscalate discrepancies or missing information to the appropriate team member.

Supplier and Query Support

oRespond to routine supplier and internal queries in a professional and timely manner.

oHelp maintain accurate supplier records and support supplier onboarding activities.

oAssist with validating changes to supplier information in line with team procedures.

Payments and Reconciliations Support

oProvide support with payment preparation activities and routine checks.

oAssist with supplier statement reconciliations and follow up on outstanding items.

oSupport month-end activities by preparing information and completing assigned tasks.

Compliance and Controls

oFollow Accounts Payable procedures, internal controls, and approval requirements.

oMaintain accurate records and ensure documentation is audit ready.

oLearn and apply key tax, compliance, and policy checks relevant to invoice processing.

Systems, Learning and Team Support

oUse finance systems and Microsoft Office tools to complete daily tasks.

oParticipate in training and development activities to build knowledge of AP processes and controls.

oSupport continuous improvement activities and contribute ideas to improve team efficiency.

oWork collaboratively with colleagues across Finance, Procurement, and the wider business.

Skills, Experience and Qualifications

• A strong interest in finance, accounting, or business administration.

• Good attention to detail and a willingness to learn.

• Strong organisational skills and the ability to manage routine tasks effectively.

• Basic numerical skills and confidence working with data.

• Good written and verbal communication skills.

• Ability to work well as part of a team and build positive working relationships.

• Basic knowledge of Microsoft Office, particularly Excel, Word, and Outlook.

• A willingness to study towards, or currently be studying, a relevant finance or business qualification is desirable.

• Previous office or customer service experience would be beneficial but is not essential.

• Accuracy and timeliness of invoice and expense processing tasks assigned.

• Completion of training objectives and progress in developing AP knowledge.

• Timely resolution or escalation of routine supplier and internal queries.

• Quality and completeness of supporting documentation and record keeping.

• Adherence to team procedures, controls, and service standards.

• Positive contribution to team objectives and collaborative working.
